Computer Learning Center (CLC)

Conditions for Use of the Center

A. Normally, the facility will be reserved on a first-come, first-served basis. However, the Center for Human Resources reserves the right to reschedule other events at any time prior to 15 days before the date of the event.

B. Payment of rental and any additional charges is required according to the fee schedule herein.

C. In addition to the basic rental fee, hourly service charges may be assessed for activities or events requiring special setups, software installation, after hours or weekend technical support, security, or other services.

D. The requesting party's signature completes the event contract. Until the signed contract has been received by the Center for Human Resources - no later than five (5) business days prior to the event - the event will not be confirmed.

E. The event contract also serves as your invoice. Actual charges may exceed the estimates shown on the contract. If past balances are outstanding, the Center for Human Resources will refuse to schedule an organization's events until past bills are paid.

F. It is the responsibility of the instructor/event leader to provide the technical representative of the Center for Human Resources with any special software and/or files needed for the class/event five (5) days prior to the scheduled class/event. If software and/or files are received less than 5 but more than 2 business days prior to the class/event, a $75 rush installation charge will be assessed. If needed software/files are not provided at least 2 business days prior to the class/event, they will not be installed or loaded, and the event may need to be rescheduled. Only the IT staff of the Center for Human Resources are authorized to install software in the Conferencing and Learning Center.

G. The Center for Human Resources may require that adequate security measures be taken to provide protection for persons in attendance at an event and for campus property. Factors considered in determining security requirements include

  1. visiting dignitaries
  2. problems based on group's history
  3. events collecting money
  4. protection of valuable property
  5. topical international/national/local issues with the potential to generate conflict

H. In the event of misuse of the equipment or the facility or other disruptive behaviors, the Center for Human Resources reserves the right to immediately terminate any event in the Conferencing and Learning Center

I. After facilities are approved for a group's use, they are restricted to invited participants only. Other arrangements must be approved in advance by the Director of the Center for Human Resources.

J. Children under 18 years of age are not allowed in the facility unless official participants in a scheduled event.

K. It is the responsibility of the instructor/event leader to be sure the facility is locked whenever unoccupied during the time reserved for his/her event.

L. The Conferencing and Learning Center shall not be used for events, programs or activities in such a way as to allow the following:

  1. Personal financial gain.
  2. Implicit or explicit endorsement of a political, sectarian, religious or partisan position by the University of Colorado.
  3. The holding of religious services except as allowed by organizations under guidelines issued by the Colorado Attorney General's Office.
  4. The likelihood of property damage or bodily injury

M. Notice of cancellation must be given more than five (5) business days prior to the scheduled event to avoid a cancellation fee. Events canceled five days or fewer prior to the scheduled event will be charged a cancellation fee of 50% of the assessed charges.

N. Extenuating circumstances such as acts of nature, disasters, acts of war, building maintenance requirements, construction or conflicting academic programs may force cancellation of an event. Such cancellation determinations may be made only by the Director of the Center for Human Resources or designee.
